Drum Artz Canada (DAC)
Title: Administrator and Office Coordinator
Reports to: Executive Director
Start Date: May 22, 2012
Hours: 15-20hrs/week - work some evenings/weekends during registration periods (3-5 weeks of the
year: September, January and May-June), volunteer up to 4 days per year for fundraising events
and/or staff development sessions
Compensation: $15-$16/hr (depending on experience)
Responsibilities include:
Be the Face of the Organization
- provide administrative support for ongoing and new programs: e.g. prepare draft documents,
arrange meetings, data entry and organization, prepare and organize participant contact lists &
attendance, prepare and update marketing material and registration packages, call past & present
participants regarding program details, discuss payment options, follow up on outstanding forms
and/or payments
- represent DAC at special events/tabling events
- answer telephone and email enquiries in a timly manner and keep voicemail message up-to-date
- follow up with interests in DAC programs
- general building maintenance: booking monthly cleanings, arrange repairs, put out recycling/garbage
Build the DAC Co mmunity
- send out marketing material about programs and liaise with schools, service centres & community
organizations, including ads to local papers, etc.
- attend first day of programs to collect registration forms and payments
- on-going communication with parents and families of participants
- collect and organize feedback/evaluations from research student, kids, youth, families and staff
- create and send out newsletter and email blasts
- update DAC website and ensure DAC’s up-to-date info on external sites (ie. NAN, Facebook, etc.)
- send out donation requests & follow up from local stores for supplies and snacks
- follow up with thank you letters to sponsors
Build/Maintain DAC’s Internal Systems & Support Development
- help facilitate good lines of communication with all levels of staff
- update all DAC materials & forms
- maintain the shared drive so documents are easily accessible to all staff
- keep online database of DAC contacts up-to-date
- organize and order supplies (business cards, brochures, office & building supplies)
- assist with outreach by sending out media kits as requested
- assist with coordinating volunteers/workshop staff for DAC programs and events as requested

Drum Artz Canada was co-founded in 2004 by Gili Zemer, entrepreneur, and Rick Lazar, Musical
Director of Samba Squad. Since its inception, Drum Artz has directly affected over 450 children and
families in St. James Town, Davenport-Perth, Jane-Finch, Regent Park, Ajax-Pickering and other
neighborhoods. In addition, in the last year Drum Artz has held workshops and performances for
over 10,000 children and youth participants in schools and community centres.
Drum Artz’s base of operations is its studio space at Dufferin & Dupont in downtown Toronto. This
5000 square foot facility features a large sound stage, professional recording studio, administrative
offices, a beautiful “green roof” and outdoor deck including a community garden.

Job Qualifications:
- excellent organizational and time management skills
- good knowledge of Microsoft Word, Excel, and web applications
- ability to manage conflicting demands and prioritize tasks
- excellent oral and written communication skills
- experience working with youth and families in marginalized communities
- excellent and flexible problem solving skills
- works well independently and as a team player
- basic knowledge of Quickbooks an asset
