Job Description:

Arts for Children and Youth (AFCY) is currently accepting applications of interest to fulfill the role of Office Administrator. AFCY seeks a highly organized individual with a keen interest in the administration of arts education and/or not-for-profit sector, to join its dynamic team.

Key Responsibilities:
• Oversee the general administration of the office (opening the office, answering the phone, responding to general emails, distribution mailing, ordering office supplies, filing information, etc.)
• Data entry into Sumac database
• Coordinate all staff and board meetings as well as minute taking at meetings
• Assist with grant submissions
• Generate artist and school invoices for Financial Manager
• Assist Financial Manager with T4As
• Process donations
• Assist with the coordination of the annual donor campaign
• Manage volunteers (including co-op and placement students) and process police checks
• Arrange for creation of plaques to be displayed with completed murals
• Coordinate the annual artist party and other special events that arise
• Attend special events as required by the organization
• Provide additional support to all staff as needed

Skill Requirements:

• Preference given to those with an education in and/or experience with arts administration
• Highly organized with attention to detail and comfortable multitasking
• Ability to work efficiently under pressure and meet tight deadlines
• Strong communication and numeracy skills
• Experience working with MAC operating system and database applications
• Proficiency with Microsoft Office; experience with Sumac database, QuickBooks, Illustrator and Photoshop an asset
• Comfortable working in an open space, team oriented work environment
• Flexible with a friendly disposition
