Position: Artistic Resource Coordinator

Job Description:

Arts for Children and Youth (AFCY) is looking for an arts-minded individual to fill the full-time position of Artistic Resource Coordinator.

The Artistic Resource Coordinator will be expected to:

- Develop and maintain positive relationships with vendors, artists, teachers, community contacts, and program site coordinators
- Order and purchase supplies required for AFCY outreach programs and events
- Research new products and specialized equipment as needed
- Connect with artists to obtain supply requests prior to program start dates
- Carefully pack all supply kits for each workshop and event
- Coordinate convenient pick-up times with artists and assist artists with the loading and unloading of supplies at the loading dock
- Track orders and communicate delivery schedules with all impacted departments
- Drop-off and pick-up materials from program sites as necessary
- Unpack and clean supplies upon return
- Collect recycled materials
- Maintain and develop new contacts for donated materials for outreach programs and events
- Order nutritious, low sugar, nut free snacks and juice to after school program locations
- Personally deliver snack to outreach locations as required
- Provide artists with on-site project assistance as required
- Schedule installation of completed art projects and assist on site as needed
- Monitor and ensure safe storage of AFCY materials at outreach and event sites
- Keep accurate and up-to-date inventory of AFCY digital and musical equipment
- Assist with the coordination, set-up and facilitation of special events, exhibitions and performances
- Rent and drive large vehicles to transport artwork and materials
- Advise artists on material choices as needed
- Contribute to AFCY donor reports, newsletters and grant applications, as required
- Lend ideas to collective AFCY projects and visions
- Keep a clear record of expenses and categorize invoices for the Financial Manager
- Generate petty cash reports
- Work with Office Administrator, Program Director and site contacts to have plaques created for each finished, permanent art project and install plaques on site
- Perform program site visits, take pictures and collect participant feedback
- Arrange for safe disposal of hazardous materials
- Be mindful of the health and safety of the artists and participants at all times
- Provide additional support to as required

Skill Requirements:

- Organized with strong attention to detail
- Excellent interpersonal and communication skills with the ability to develop and maintain positive rapport with others
- Possess valid driver’s license and have regular access to vehicle
- Physically fit and able to carry bins of art materials
- Able to multitask and work efficiently under tight deadlines
- Able to respond and deal effectively with change and remain calm under pressure of high volume and changing priorities
- Demonstrated professionalism, judgment and discretion in dealing with confidential and/or sensitive matters
- Demonstrated commitment to the principles of equity and diversity with the ability to deal effectively with a diverse population
- Ability to work independently and participate collaboratively in a small team environment
- Excellent research skills with the ability to source a variety of products and materials
- Strong computer skills and experience with Mac operating systems and database applications
- Knowledge of a variety of art materials and practices
- A keen interest in the arts
