Program Coordinator, Regent Park School of Music
The Regent Park School of Music (RPSM) is seeking a highly-motivated Program Coordinator. RPSM is currently approaching year three of an ambitious five-year strategic plan. It sets an exciting course to grow the school’s programs by 2015 into a fully-developed new curriculum providing 3,000 student music education experiences per year.
Our plan relies on a small staff of motivated self-starters, including the integral role of Program Coordinator, helping breathe life into our programs across the City of Toronto.
The RPSM aims to provide high quality, affordable music education to youth-in-need from Regent Park and other areas of the City of Toronto. It is one of Toronto’s most diverse music schools, offering both private and group lessons with an emphasis on quality, collaboration and creativity. Located in a little house on Queen Street East, our staff, faculty and volunteers work tirelessly to oversee the safety and growth of our students. RPSM also operates satellite programs in other high need areas of the city where children receive extra-curricular music lessons in the safe and familiar space of their own community school. In September 2012, the RPSM will begin a new chapter in the Regent Park Arts & Cultural Centre, a brand new space to help grow its programming and student body.
Reporting to the RPSM Director, the successful candidate’s duties will include:
Program Support
•Provides general support as required for all RPSM programs
•Contacts Faculty and Students to confirm scheduling when required (Faculty to manage schedule changes in collaboration with RPSM office)
•While working primarily in the Regent Park location, the Program Coordinator is also responsible for travelling to its satellite locations, to monitor and support the school’s satellite programs
•Supports annual recitals in all locations
•Sits on the Educational Services Committee
•Helps with solicitation and general communication related to RPSM programs
General Office Administration
•Processes general phone / fax / email / mail inquiries in a timely manner
•Database management (Microsoft Access)
•Provides general support to committees as required
•Provides a timely monthly Office Report to RPSM Director for each Board meeting (tracking student numbers, hours taught per week, and other statistical information)
•Provides other general and project support as requested by the RPSM Director
•When schedule changes are required (due to Faculty or Parent changes), alerts all required parties for a smooth transition into lesson time
•Arranges pick-ups and deliveries with suppliers (i.e. Remenyi, Long & Mcquade, etc), to pick up supply orders when necessary
Outreach Coordination
•Liaises with other arts education organizations, with approved direction from the RPSM Director, for potential collaboration
•Negotiates and administrates space permits related to RPSM programming needs (TDSB, all satellites included)
•Liaises with RPSM volunteers when necessary, with direction from the Volunteer Committee Chair
•Designs semi-annual RPSM newsletter and prepares mailing
•Updates website as required
Event Coordination
•Supports performance requests, initiated by various RPSM stakeholders
•Organizes student performances (solo & ensemble)
•Maintains annual Calendar of Events at least six months in advance
•Communicates with community event planners & stakeholders
•Negotiates honorariums
•Plans all student recitals throughout the year (with Administrative Specialist)
•Works with Faculty in garnering necessary support for each event
•Compiles and manages the student repertoire, provided by the Faculty, to be considered for performance opportunities
•Attends applicable rehearsals
•Arranges transportation, schedule and food for students (if necessary)
•Arranges signing of release forms by parents
•Provides parent updates (phone & email)
•Confirms technical requirements (visits venue if necessary)
•Attends performances when possible
Fundraising Support
•Provides programming support as required at Spring Fundraiser event, and other events throughout the year
•Supports new fundraising strategies when required
•The successful candidate will have the following qualifications:
•A university degree in music, education, the arts or a related area is preferred
